JOB SUMMARY:
The front desk and operations personnel will be responsible for supporting the marketing representatives and other representatives of the company. The ideal candidate will be responsible for the smooth running of the office. He/She will provide administrative support and perform varied duties, including scheduling, writing correspondence, emailing clients, welcoming and receiving visitors, routing and delivering important calls and messages, analyzing customer requests and consulting with manager. and problem resolution. 


JOB DESCRIPTION:
  • Provide administrative and clerical support to departments or individuals.
  • Schedule meetings and arrange conference rooms.
  • Alert manager about stock or inventory depletion and responsible for replenishing
  • Acknowledge emails and respond to client requests or concerns promptly 
  • Prepare correspondence, invoices receipts, from our in house applications and accounting software (Sage) 
  • Arrange for outgoing mail and packages to be picked up.
  • Source items for current and prospective clients through our online system 
  • Prepare pricing for review by manager when the sales reps are out in the files 
  • Manage spreadsheets of diesel/meter  usage, expenses, prospective and current clients’ information etc 
  • Greet and receive visitors and ensure that they are properly checked in or sign our log book
  • Prepare confidential and sensitive documents or correspondence.
  • Coordinate office management activities ie special events, birthday celebrations etc  
  • Prepare office budget and ensure the proper use of supplies and maintain/reconcile expenses.
  • Maintain office procedures - opening and closing of the office etc 
  • Coordinate travel/transportation  arrangements; prepare itineraries; prepare, compile and maintain travel/transportation vouchers and records and receipts
  • Operate office equipment, such as photocopy machine, inverter, meter  and scanner, etc 
  • Relay directives, instructions from manager to Marketing executive and other staff. 
  •  Act as a reliable liaison between manager and marketing executives/drivers/other staff  in most cases .
  • Receive and relay telephone messages.
  • Direct general/specific m email inquiries to the appropriate staff member.
  • Maintain hard copy and electronic filing system. 
  • File all federal and state filings and deductions such as LIRS, FIRS and work with our financial accountant/auditor during financial year end close
  • Perform other functions as directed by the management

SKILLSQUALIFICATIONS & REQUIREMENTS
  • Bachelor's/HND or a first degree in Business Administration or a relevant qualification  
  • Windows applications, Word, Excel, Google docs, Power point
  • Excellent administrative, written and communication skills 
  • Ability to determine work priorities, assign work, and review work for quality and production standards. 
  • Ability to meet schedules and deadlines of the client and when we have work exigencies.
  • Value time and have a sense of urgency 
  • Ability to transcribe notes into readable memos and reports. Daily, Weekly and Monthly reports will be required.
  • 1-3 years of relevant work experience i.e. in sales or customer service 
  • Candidate's place of residence should be around the Lekki, Ajah, Island area. 

SALARY: N50,000 to N75,000 per month. End of year Bonus will be considered based on team’s effort in meeting its sales targets or deliverables
